How to Create a Sustainable Fundraising Income Stream for Your Sports Club

create a sustainable fundraising income stream for your sports club

At a glance

  • Launch a dedicated fundraising page that clearly explains the club’s goal, why the funds are needed and how supporters can participate.
  • Reduce volunteer workload by using digital tools for registrations, payments, fund allocation, tracking and reporting.
  • Expand beyond current players and parents by reaching former members, extended families, sponsors and wider community networks.
  • Reward supporters through offers and savings from participating businesses, giving people a practical reason to stay engaged.
  • Use a membership-based digital fundraising model that can generate income from new members and annual renewals.

Sports clubs face recurring costs for uniforms, equipment, coaching, travel, insurance and facility maintenance. Yet many clubs still depend on raffles, sausage sizzles, canteen sales, sponsorship drives and game-day events that generate income only for a limited period.

These activities can raise short-term funds, but they usually rely on strong attendance, repeated promotion and a small group of volunteers willing to organise and manage each activity. Once the event ends, the income stops and the club must plan the next fundraiser from scratch.

A sustainable fundraising income stream spreads fundraising across the year, reaches more supporters and reduces reliance on one-off activities. It also means sports clubs can cover ongoing expenses without repeatedly asking the same families to contribute.

Membership-based digital fundraising platforms such as Swoodle now make this model feasible for sports clubs of any size, without requiring dedicated staff or technical know-how.

Launch and Promote A Dedicated Fundraiser Page

Start by creating a dedicated fundraising page with a custom URL to share across the sports club’s network. The page should explain what the fundraiser supports, why the goal is important and how supporters can participate. On Swoodle, this page is generated automatically when you register as a fundraiser, so there’s no need to build one from scratch, and you can update it anytime.

Once the fundraiser page is live, promote it across multiple channels to reach a wider audience. Simply provide Swoodle with your organisation’s brand assets, and we will create a suite of custom marketing materials, including social media graphics, templated emails, posters and QR codes, so the committee can promote the campaign consistently without designing materials in-house.

Promotion works best when it’s spaced across the season rather than delivered through frequent, high-pressure appeals.

Supporters can also broaden the campaign’s reach by sharing the page through their own networks, helping the club connect with more people without adding to the committee’s workload.

Reduce the Administrative Work Behind Fundraising

Fundraising becomes difficult to sustain when volunteers must manage registrations, payments, spreadsheets and financial records manually. The workload increases further when the same tasks must be repeated for each new fundraising campaign.

Digital fundraising can reduce much of this administration. On Swoodle, for example, supporters complete membership registrations online, while cashless payment processing and automatic fund allocation remove the need for fundraisers to collect money or reconcile transactions manually.

Live dashboards give committees visibility over supporter numbers, funds raised, renewals and payouts. This reduces the reporting burden on treasurers and makes it easier to keep other committee members informed.

With registrations, payments, fund allocation and reporting handled digitally, the club can keep the fundraiser running without placing ongoing pressure on volunteers.

Build a Broader Supporter Base

Current players and their families are only one part of a sports club’s potential fundraising audience. Former players, grandparents, past members, residents, sponsors and other community supporters may also have a connection to the club and a reason to contribute.

Digital fundraising makes it easier for these groups to participate without attending matches, volunteering or living nearby. On Swoodle, for instance, a former player living away from the Sports Club area can access the fundraiser via a shared link and support the club online, regardless of where they live.

Reaching a wider audience also reduces pressure on the same households. Instead of repeatedly asking current families to buy raffle tickets or contribute to short-term campaigns, participation can spread across a broader network.

As awareness grows and supporters share the campaign with others, the club can build a stronger foundation for ongoing income rather than relying on the same small group each season.

Partner with Local Businesses to Reward Supporters

Repeated donation requests, raffle sales and product drives can lead to supporter fatigue, particularly when the same families are approached throughout the year. A more sustainable model gives supporters practical value in return for supporting a fundraiser.

Membership-based digital fundraising platforms such as Swoodle provide members with access to offers and savings from participating businesses across dining, retail, services, activities, health and wellbeing and travel. Supporters receive useful benefits and savings, while participating merchants gain visibility among community-minded customers.

This creates a stronger value exchange than fundraising methods that ask people to contribute without receiving anything in return. Supporters have a practical reason to remain engaged, while local businesses gain exposure through their involvement in the fundraising ecosystem.

Because this value comes from the platform’s merchant network rather than the club itself, supporters continue to receive something useful even in months when no formal fundraising appeal goes out.

Choose a Membership-Based Digital Fundraising Model for Recurring Revenue

A membership-based model, such as the one Swoodle runs, generates income each time a supporter purchases an annual membership and selects the sports club as their chosen fundraiser. A set portion of the membership fee is then allocated to the club, giving every sign-up a clear fundraising value.

Unlike many online fundraising platforms built around short campaign periods, this model allows supporters to join year-round. Income is not limited to a single event, a playing season or a fundraising target.

Annual renewals can also generate future revenue from existing supporters, reducing the need to rebuild the fundraiser whenever a new expense arises. As membership numbers grow and renewals continue, the club can develop a more dependable income base.

This structure funds recurring costs such as uniforms, equipment, coaching, travel, insurance and facility maintenance more reliably than a fundraiser built around a single short-term goal.

Sustainable fundraising combines year-round visibility, a broader supporter base, practical value for participants and a model that does not need to be rebuilt whenever the club needs funds. It must also remain manageable for volunteers, allowing the fundraiser to continue without creating a heavy administrative workload.

A membership-based digital fundraising model makes this possible by operating continuously rather than through isolated campaigns. On Swoodle, supporters purchase an annual membership for $49.99, with 40% of the fee directed to their chosen sports club. As more supporters join and memberships renew, the club can build repeat income without organising a new campaign each time funds are required.

If your sports club is looking for a more consistent way to generate funds, start a fundraiser with Swoodle and build an income stream that can grow through new memberships and annual renewals.

FAQs

Can sports clubs use ongoing fundraising alongside game-day activities?

Yes. Ongoing fundraising can provide a steady financial base throughout the year, while raffles, sausage sizzles, canteen sales, sponsorships and other game-day activities generate additional funds for specific needs or short-term goals.

How can a sports club reach supporters beyond players and parents?

Sports clubs can share a digital fundraising link with former players, extended family members, sponsors, local residents and wider community networks to reach a broader supporter base. Because supporters can participate online, they do not need to attend matches, volunteer or live nearby.

Does recurring fundraising guarantee the same income every year?

Income isn’t fixed year to year. It depends on how many supporters join, how many memberships renew and how consistently the fundraiser is promoted. However, a recurring model allows the club to build on its existing supporter base rather than start from scratch each year.
