How to Choose the Right Fundraising Platform for Your School

How to choose the right fundraising platform for your school

At a glance

  • Decide whether your school needs a one-off campaign or an ongoing fundraising model.
  • Compare total costs, fees and payout conditions to understand how much money the school will ultimately receive.
  • Check how much volunteer time and administrative workload the platform requires.
  • Review whether it provides a fundraising page, shareable links and ready-made promotional tools.
  • Consider how easily supporters can participate, what value they receive and how clearly fundraising progress is reported.

You’ll find dozens of online fundraising platforms. Some are built around one-off donation drives, others rely on product sales, and a growing number use membership-based models. They all promise an easier way to raise money, but the workload, fees and long-term value can differ significantly.

Choosing the wrong platform has a real cost: volunteers left managing sign-ups and payments manually, fees that reduce the amount your school receives or a campaign that delivers short-term results but does not build a sustainable income stream.

The question is not which option ranks among the best fundraising platforms in Australia, but which one fits your school’s goals, budget and available volunteer capacity.

Decide Whether You Need One-Off or Ongoing Fundraising

The first step is to decide whether your school is raising money for one goal or needs income that can continue throughout the year.

One-off fundraising platforms suit projects with a single, clear target and deadline, such as playground equipment, a school camp or classroom technology. The drawback is that income usually ends when the campaign closes. If another expense arises in the following term, the school may need to start fundraising again, rebuild momentum and ask the same families to participate.

Ongoing fundraising platforms work differently. They are designed to remain active for longer, allowing supporters to join or contribute throughout the year. Some membership-based models can also generate recurring income through annual renewals, reducing the need to restart fundraising each term. For schools with recurring costs, an ongoing model can provide a more practical fundraising option.

The right choice depends on how often your school needs funds and whether your committee wants to relaunch campaigns or keep building an existing supporter base.

Compare Costs and Fees, Upfront and Ongoing

Many fundraising platforms advertise free sign-up or no upfront cost. However, the amount your school ultimately receives can vary once fees, deductions and other expenses are taken into account.

Common charges include setup fees, monthly or annual subscriptions, payment-processing fees, percentage deductions and minimum payout thresholds. Some platforms may also charge extra for promotional tools, premium features or additional campaign support.

Focus on how much funding your school actually receives after all costs are applied. Clear pricing makes it easier to estimate the likely return before committing.

Assess Volunteer Time and Administrative Work Required

Many school fundraisers still depend heavily on volunteers to manage sign-ups, collect payments, follow up with supporters and reconcile figures at the end. When a committee is already stretched across a busy term, the administrative workload can become a bigger barrier than the fundraising itself.

Digital fundraising does not automatically remove that work. Some platforms still leave committees responsible for supporter records, payment follow-ups, spreadsheets and reporting. Before choosing one, check whether it handles registrations, payment processing, contribution tracking, payout records and renewals automatically.

A suitable platform should reduce repetitive tasks and give committees clear access to fundraising information without needing separate spreadsheets. This allows volunteers to spend less time on administration and more time supporting the school community.

Review Launch and Promotion Support

A fundraising platform should do more than process payments. Schools also need practical tools to launch the campaign and keep it visible throughout the term or year.

Check whether the platform provides a dedicated fundraising page, a shareable campaign link to reach supporters beyond the immediate network and ready-made custom promotional materials such as email templates, social media graphics, posters and QR codes. Campaign calendars, launch guidance and setup support can also reduce the time volunteers spend on campaign planning and coordination.

These tools help schools present a consistent message across newsletters, social media, parent emails and community updates. They also make it easier to repeat a promotion without creating new content for every reminder.

A platform with strong launch and promotional support can reduce the committee’s workload while helping the fundraiser reach more families, former students and community supporters.

Consider How Easy and Rewarding It Is for Supporters to Participate

Even the best fundraising idea can struggle if supporters find it difficult to take part. A platform should make participation simple for supporters.

Look at how supporters join the fundraiser. Can they participate online, or must they attend an event, collect products or complete paper forms? Fewer steps make it easier for people to take part when it suits them.

Also consider what supporters receive in return. While some fundraising models rely solely on donations or product purchases, others include offers from participating businesses across everyday categories.

These benefits give supporters practical value in return for supporting the school’s fundraiser. This can make participation more appealing than a donation-only request, particularly when families are already experiencing fundraising fatigue.

A simple process and clear value to supporters can improve participation and encourage continued support.

Review Reporting, Transparency and Payout Arrangements

Schools should be able to see how much has been raised, when funds will be paid and how supporter activity is recorded.

Check whether the platform provides live fundraising totals, supporter numbers, pending and completed payouts, renewal information and progress against campaign targets. Clear reporting should be available without requiring the committee to maintain separate spreadsheets.

Payout arrangements also need to be straightforward. Review how often funds are transferred, whether minimum thresholds apply and whether any amounts are held before payment.

Transparent reporting helps treasurers, secretaries, committees and school leaders monitor performance, confirm payments and share accurate updates with the school community.

The right fundraising platform is the one that fits how your school actually needs to raise money.

If your school needs funds throughout the year, has limited volunteer capacity and wants to reduce reliance on repeated events or product drives, a membership-based digital fundraising platform like Swoodle can offer a suitable model.

Swoodle helps you generate income through annual memberships rather than one-off fundraising activities. Members pay $49.99 per year, with 40% of the membership fee directed to their chosen fundraiser. As more members join and renew, the school can build a more consistent source of income without launching a new campaign each time funds are needed.

The platform also reduces volunteer workload by providing a ready-made digital fundraising system. After signing up as a fundraiser, schools receive a branded fundraising page, a shareable link and built-in custom marketing assets such as social media post designs, email templates and promotional graphics once the Fundraiser has sent Swoodle their brand assets. Members register via the website or via the Swoodle app after downloading it and pay through the platform, reducing cash handling, manual tracking and repeated campaign setup.

Supporters gain access to exclusive offers in-store or online from participating local businesses and well-known brands across dining, retail, travel, entertainment, health and wellbeing and everyday services throughout their membership. This gives people a tangible reason to join.

Because supporters can join at any time through a shareable fundraising page or by browsing the Swoodle website or app, the campaign is not limited to a single event or location. Schools can promote the link through email, social media and community channels, helping the fundraiser reach broader networks over time.

Yes. Swoodle can operate alongside sausage sizzles, raffles, trivia nights and other traditional fundraising activities. While events provide short-term income and community involvement, Swoodle can continue generating funds between them.
