Fundraising Without Volunteers: Is It Possible

Fundraising Without Volunteers

At A Glance

  • Volunteer-led fundraising remains valuable, but busy schedules, small committees, burnout and seasonal gaps can make it difficult to maintain consistency.
  • With modern digital fundraising platforms, fundraisers can run online without the need for constant promotion or organising physical events like before.
  • Fundraisers run continuously through a single shareable link, allowing ongoing participation and extended reach without additional setup.
  • Built-in marketing tools, such as ready-made email templates, branded social posts and shareable assets, make it easier to promote the fundraiser online and in person with minimal effort.

Volunteers help run most schools, sports clubs and community fundraising activities. They manage planning, coordination, promotion and day-to-day tasks required to run campaigns. But relying on volunteers also comes with certain constraints. Unavailability, busy schedule/diary management, small committees, burnout and seasonal gaps can make fundraising harder to organise and run consistently.

This highlights the need for a model that does not rely entirely on people doing everything manually. Community support platforms make fundraising possible with few or no volunteers by removing much of the manual work and heavy lifting. Instead of relying on events, rosters, and coordination, they allow fundraisers to run campaigns through a structured system that runs in the background with limited team input. It requires minimal day-to-day operations and involves no upfront or ongoing cost.

As digital fundraising becomes more common, it is proving to be a practical complement to traditional methods. Its key advantage is straightforward: it allows fundraising to continue regardless of volunteer availability.

How Digital Fundraising Platforms Work With Few to No Volunteers

Digital fundraising platforms, such as Swoodle, reduce reliance on manual, volunteer-led fundraising by using a system-led model. Instead of relying on volunteers to plan and run every activity, the platform handles the key tasks needed to bring funds in.

The sections below outline how Swoodle enables fundraising with few to no volunteers.

Members/Supporters Sign Up Online and Support a Fundraiser

Supporters access the fundraiser via a single shared link that directs them to a branded marketing page on the platform. The page includes key details, such as the cause and its purpose and has a clear ‘Join Now’ call to action.

From there, they complete the sign-up process to become a Swoodle member at $49.99 per year and select the fundraiser they want to support. Individuals can also sign up as members on the Swoodle website or app first, then choose a fundraiser to support via the search function. Selecting a fundraiser to support is important because it links each supporter directly to a specific fundraiser.

Because this process is completed digitally, there is no need for organisers to collect participant information, manage sign-up forms or track who is supporting which fundraiser. Each supporter’s selection is automatically recorded, ensuring that all future contributions are attributed correctly.

Funds Are Generated Through Memberships

Once a supporter signs up as a Swoodle member and selects a fundraiser, 40% of the membership fee is directed to that chosen fundraiser. This creates a clear, immediate contribution at sign-up, rather than relying on recurring transactions or event-based fundraising. Repeat annual membership renewals can also support ongoing fundraising income, creating a more sustainable and recurring revenue stream over time.

This model makes fundraising much simpler. Instead of organising multiple fundraising activities such as events, product sales or raffles to reach a target, the contribution is built directly into the membership. Each new supporter increases the total funds raised, making income generation more predictable and less dependent on ongoing organiser involvement.

As part of the membership, supporters gain access via the Swoodle app to member-only offers across categories such as food and beverage, retail, services, activities, health and wellbeing and travel. The contribution to the fundraiser is fixed at sign-up, and it is not dependent on how often members use the platform.

Fundraiser Receives Income Through Automated Systems

All contributions are processed within Swoodle and allocated to the selected fundraiser. When a supporter signs up, the system tracks the membership and directs 40% of the membership fee to the fundraiser. This amount is paid out 30 days after receipt, at the end of each month, rather than being distributed progressively. Organisers do not need to track payments, calculate contributions or manage this process manually.

This is made possible by automating key administrative tasks. Processes such as supporter sign-ups, payment handling and contribution tracking are managed within the platform, removing the need for fundraisers to collect payments, reconcile funds or maintain records manually.

Once the fundraiser is active, these processes continue running in the background. The platform records activity, allocates funds and displays everything on the fundraiser dashboard, ensuring accuracy and transparency without ongoing involvement.

As a result, fundraisers can receive their allocated funds at the end of each month without needing to manage day-to-day operations. This reduces admin work and removes the need for volunteers to manage financial tasks, allowing fundraising to continue even when resources are limited.

Scales Fundraiser Without Additional Complexities

Fundraisers on Swoodle run continuously rather than as one-off campaigns. Once they set up their branded marketing page, they can run as many or as few fundraising campaigns throughout the year as they choose, with one fundraiser campaign active at a time, without adding significant coordination complexity. Supporters can join at any time, so fundraising can continue without extra volunteer involvement.

The fundraiser operates through a single shareable link connected to a branded marketing page. This link can be distributed across newsletters, email lists, social media and messaging groups, extending reach without additional setup.

Supporters access the fundraiser via this link and become members, contributing while taking advantage of member-only offers. The fundraiser is designed to be self-service, so organisers do not need to guide participants or follow up manually. All activity, including sign-ups and contributions, is handled within the platform.

Fundraisers benefit from promoting the campaign as widely as possible across supporters and network contacts, as increased member sign-ups directly increase funds raised. Supporters can also share the fundraiser within their own networks, helping broaden participation without the fundraiser’s involvement. This allows the fundraiser to grow through participation rather than constant coordination, without needing a large team behind it.

Key Considerations for Fundraising Without Volunteers

Fundraising without volunteers reduces the need to coordinate with people and carry out day-to-day logistics, but it makes structure more important. Without people involved in managing tasks, success depends on clear communication, platform capabilities and consistent promotion.

  • When fundraising without volunteers, clarity becomes essential. Supporters need to understand how the fundraising model is structured and what impact it creates. Clearly explain how the platform operates, what supporters need to do and how funds are directed to the fundraiser. Transparency builds trust and reduces the need for back-and-forth communication, which would otherwise take extra time and effort to manage.
  • Without volunteers driving outreach, visibility needs to come from structured marketing efforts. Use social media, email newsletters and messaging groups to promote the fundraiser and share the participation link. Consistent communication helps maintain momentum and reach new supporters without requiring much extra coordination. Swoodle simplifies this by providing a Launchpad Starter Kit that includes custom marketing materials, a fundraising calendar, branded social posts and templated emails. These resources are available in the dashboard. Guidance on using them effectively is available as downloadable resources on the Swoodle website.
  • The platform you choose will shape how effectively you can fundraise without volunteers. Platforms like Swoodle simplify setting up a fundraising campaign and automate sign-ups, contribution tracking and fund allocation, removing the need to manage participants, collect payments, or coordinate activities manually.

Volunteer-led fundraising will always play an important role in building community and engagement, but it is no longer the only way to raise funds. As fundraisers face ongoing challenges with availability, capacity and coordination, relying solely on manual effort limits consistency and growth.

This is why more fundraisers are turning to digital fundraising platforms to reduce admin, maintain momentum and run campaigns more consistently.

Swoodle supports this change by embedding fundraising into a system that operates independently of volunteer availability. It helps fundraisers maintain fundraising activity, reduce administrative workload and grow participation without adding more work with real time date and insights.

Rather than replacing traditional methods entirely, they provide a reliable foundation that ensures fundraising can continue regardless of capacity constraints. Join Swoodle today and simplify your fundraising campaigns.

FAQs

Do we still need volunteers to run a digital fundraiser?

Volunteers are still valuable, but their role shifts. Instead of handling admin tasks and coordinating events, the platform manages sign-ups, payments and other essential tasks, allowing volunteers to focus on higher-value activities, such as campaign promotion, supporter engagement and building community awareness.

Do I need a dedicated tech operator to manage fundraising campaigns in Swoodle?

No. The platform is user-friendly and designed for low-effort implementation and a minimal operational workload. Getting started does not require complex technical know-how or dedicated expertise. Once the branded marketing page is set up, the system automates transactions and reporting. This keeps day-to-day management light, so any committee member with basic email or social media skills can manage campaign promotion using the ready-made marketing assets provided.

Can fundraisers use the funds for any cause, or are there restrictions?

The funds raised through Swoodle belong entirely to the fundraiser and can be used however it sees fit. There are no restrictions on how the funds are used, giving them full flexibility to support their priorities. They can direct funds where they are needed most.
